Hotel Contingent Management

The event management office at the University of Vienna makes enquiries, invites offers, books hotel rooms and arranges prospective accommodation according to your wishes.

We provide hotels in a lot of categories

  • Inviting offers
  • Reserving rooms in hotels close to the event venue
  • Negotiating special rates
  • Online booking of rooms and management of hotels as well as negotiating booking and cancellation fees
  • Managing accommodation for conference VIPs (Speaker Handling)

Reporting

  • Regular reporting as well as communication of various statistics (hotels, number of attendees, payment etc.)
  • Regular reporting to hotels
  • Coordinating all hotel-related deadlines and dates

Booking process for congress participants

Online hotel reservation
Purchased hotel contingents can be made bookable for participants during registration or separately online. After the room has been booked, the participant will immediately receive a confirmation e-mail with all the data of his/her reservation (hotel data, contact details, booked room service, price).

Payment is made by credit card (data will be requested during online booking).


Costs

You will not incur any costs for this mediation service, as it is self-financed by commission payments from the respective hotels.

It is therefore a free service and an additional offer for your participants.
