These terms and conditions apply to all services related to guided tours that the University of Vienna provides to its contractual partners. By acknowledging the confirmation of a guided tour, you automatically agree to these terms and conditions.

Terms and conditions for guided tours at the University of Vienna

(organised by the University of Vienna, Universitätsring 1, 1010 Vienna)

1. General

These General Terms and Conditions (GTC) apply to all guided tours at the University of Vienna, regardless of whether it is a special tour or participation in a public tour.

2. Booking and confirmation of guided tours

2.1 Special tours

Special tours offered by the University of Vienna have to be booked in writing (by letter or e-mail), specifying the complete invoice address. A tour is only considered booked once you have received a booking confirmation from the University of Vienna. Special tours are available for groups of 1 to 30 people. If you want to visit the locations of the University of Vienna with more than 30 people, several groups can be guided through the building at the same time.

2.2 Public tours

Public tours are held in German and/or English.

The exact tour times are published on https://fuehrungen.univie.ac.at. Since the University of Vienna is a lively place of university operations, tours may be postponed or cancelled at short notice due to events or technical modifications. Likewise, it is possible that individual rooms cannot be shown during a tour due to ongoing events. The guides are responsible for selecting the rooms shown during the tour as well as the route through the buildings and/or the outdoor areas. Tickets for public tours can be purchased from the porter during opening hours.

Only individual visitors are allowed to participate in public tours. The University of Vienna offers group tours for groups of more than eight people. The University of Vienna reserves the right to refuse a group's request to participate in a public tour. A maximum of 25 people can participate in a public tour.

3. Terms of payment

3.1 Public tours

You can purchase tickets for public tours from the porter in advance and pay for them in cash.

3.2 Special tours

Payment for special tours is due by bank transfer upon receipt of the invoice. The payment by bank transfer is free of charge. The bank transfer must specify the invoice number. The payment period is 14 days from the invoice date. Invoices are issued after the service has been provided. Cash payment on site or by debit card is not possible.

4. Conducting guided tours

Only guides appointed by the University of Vienna are allowed to conduct tours of the entire University (including areas that are not open to the public, such as the University's ceremonial hall area). External people (e.g. tourist guides) are permitted to independently guide groups through the University of Vienna. Prior registration is requested. Groups guided by external people are only allowed to visit areas open to the public.

By prior arrangement, special tours can be translated into another language by a person organised by the group. Public tours of the University may not be translated into another language.

Guided tours usually start at the specified time. The guides of the University of Vienna are obliged to wait for a group registered for a guided tour for a maximum of 15 minutes after an agreed time. In return, upon receipt of written confirmation for the booked tour, you grant the University of Vienna's guides 15 minutes from the agreed time for unforeseen delays on their part.

If you arrive late, you are not automatically entitled to a full tour. Depending on the availability of the guides, they may propose or refuse to extend the tour. In any case, you will be charged for such an extension.

If the guides arrive late, the tour will be conducted in full. This does not incur any additional costs to you.

The signs, notices and announcements in the buildings and outdoor areas must be strictly observed. In particular, in the event of a fire or other danger, you must follow instructions from supervisors of the organiser as well as from supervisory bodies of the municipal authorities, police, fire brigade and ambulance service.

5. Photography, sound and video recordings

Recordings (in particular, image and/or sound recordings) before, during and after the tour are only allowed for private purposes.

Unless you have been granted special permission, you are prohibited from using such recordings for commercial purposes. You have to follow the instructions of the guide in this regard. In cases where participants do not adhere to the ban on recording, the guide can stop the tour at any time. In this case, you are not eligible for a refund.

6. Cancellation policy for tours

Cancellations are only accepted if made in writing. The date of receipt of the written cancellation applies.

Cancellations made up to 14 days before the booked tour date are free of charge. If you cancel up to 3 days before the tour, we will charge you 50 % of the full amount. If you cancel within 72 hours of the scheduled date or in case of a no-show of the group, we will charge you the full amount.

If a tour does not take place due to force majeure (strike, war, pandemic, natural disaster, flooding), the cancellation is free of charge.

If a tour or workshop cannot take place due to the closure of the Botanical Garden because of severe weather (storms or gusts of wind of 62 km/h or more, heavy rain, fresh snow, ice, and soft paths), the cancellation is free of charge.

Requests for changes to booked tours will only be accepted if made in writing. The date of receipt of the written request and the tour cancellation conditions apply.

7. Liability

Participation in tours is at your own risk, without exception. The University of Vienna assumes liability for personal injury or property damage only to the extent required by law.

Children under the age of 15 years are only allowed to participate in guided tours if they are accompanied by an adult.

The house rules, the fire safety regulations of the University of Vienna, the garden rules of the Botanical Garden and the courtyard rules of the Campus of the University of Vienna apply.

8. Place of jurisdiction

The exclusive place of jurisdiction for all disputes arising from contracts with customers who are entrepreneurs within the meaning of the Austrian Consumer Protection Act (Konsumentenschutzgesetz, KSchG) is the court responsible for 1010 Vienna. Austrian substantive law applies exclusively, excluding the applicability of any reference standards and the UN Convention on Contracts for the International Sale of Goods, unless their binding stipulations would be more favourable to consumers. Any deviations from these payment and delivery conditions must be made in writing and are only valid if signed by the University of Vienna.
